  Rental Vehicles and Charter Buses

There are two recommended contracts for rental vehicles; The Florida State Contract and the E & I Cooperative Services contract.

You must use your School/Department Visa or MasterCard to rent a vehicle for business use.  This includes rentals using Internal funds as well.  

You should use the linked websites to process your order or you can download the free mobil app on your smart phone.

If you do not have a transponder (issued to you by your school or department) for tolls, you will need to pay at the toll.  If you do not pay at the toll or use a transponder, administrator fees will be added to the toll charge by the rental company.

Charter Buses for Students

If your school or department is going to reserve a charter bus for student transportation to an approved event/field trip, you must use a vendor that has been pre-approved.   The pre-approved vendors are listed on the Okaloosa and Escambia School District websites linked below.   It is highly recommended that quotes be received from a minimum of three charter providers before making a final decision on which one to use.  If the estimated cost is over $12,500 schools must submit quotes for review to the purchasing department.

The Santa Rosa County School District does not have a list of authorized charter bus companies, however the following districts do have companies available for use as follows:

DOE Student Transportation Vehicle Usage Update

When the transportation of students is provided in a vehicle other than a school bus that is owned, operated, rented, contracted, or leased by a school district or charter school (emphasis added), the following provisions shall apply: 1. The vehicle must be a passenger car or multipurpose passenger vehicle or truck, as defined in Title 49 C.F.R. part 571, designed to transport fewer than 10 students. Students must be transported in designated seating positions and must use the occupant crash protection system provided by the manufacturer unless the student's physical condition prohibits such use.
